Privacy Policy
Callwell ("the App") helps groups of clinicians and professionals build and share on-call/shift schedules. We designed the App to collect as little as possible. This policy explains what we handle and your choices.
1. What the App stores
- Schedule data you enter: provider names or initials, roles, on-call and shift assignments, holidays, and time-off / leave codes (e.g., VL, ET). This is workforce-scheduling information.
- Profile basics (optional): a display name, title/prefix, a color, and an optional profile photo. Photos are stored on your device only.
- Group membership: if you create or join a group ("team"), the App stores a group name and an invite code so members can share one schedule.
- App settings: your preferences (e.g., theme, calendar-sync choice, admin PIN for your team).
2. What the App does NOT collect
- No patient information. The App is not intended to store, and you must not enter, any patient-identifiable information or Protected Health Information (PHI). See the Terms.
- No selling of data, no advertising, no third-party ad trackers.
- We do not collect precise location, contacts, or your health data.
3. Where your data lives
- On your device by default. Your schedule is stored locally on your iPhone, plus a local backup in the App's private storage so you don't lose it if device storage is cleared.
- Optional iCloud sync. If you enable group sync, data is synchronized through Apple iCloud/CloudKit so your group's devices stay in sync. That data resides in Apple's iCloud infrastructure under Apple's terms.
- iOS Calendar (optional). If you turn on Calendar sync, the App writes your shifts to a dedicated "Callwell" calendar on your device using Apple's Calendar (EventKit) with your permission. You can revoke Calendar access anytime in iOS Settings.
4. Analytics & crash reporting
The App does not use third-party analytics or advertising SDKs and does not track you across apps or websites.
5. Third-party services
Apple provides in-app purchases/subscriptions, optional iCloud sync, and push notifications. Your use of those features is subject to Apple's privacy policy. We receive from Apple only what's needed to deliver a subscription (e.g., a subscription status), not your payment card details.
6. Your choices and rights
- Access & export: you can view and export your schedule (Excel/PDF/CSV) at any time from within the App.
- Deletion: you can remove people, reset or replace a team, or start fresh from the admin controls; leave a group; or delete the App to remove its local data. You may also contact us at [email protected] to request deletion of any data we control.
- US state privacy rights (e.g., California CCPA/CPRA): we do not sell or share personal information for cross-context behavioral advertising. You may request access or deletion as above.
7. Data retention
We keep schedule data only as long as you keep it in the App or your group is active. Deleting the App, deleting your data in-app, or leaving a group removes it from that device; enabling iCloud sync removes synced copies when you delete the group per Apple's processing timelines.
8. Children
The App is intended for professional workforce scheduling and is not directed to children under 13, and we do not knowingly collect their information.
9. Security
We rely on iOS's on-device protections and Apple's iCloud security for synced data, and we minimize what we collect. No method of storage or transmission is 100% secure.
10. Changes
We may update this policy; we'll post the new effective date here and, for material changes, notify you in the App.
